Export Control and Data Processing Information

This event takes place on the premises of Fraunhofer Institute for Integrated Circuits IIS (Fraunhofer IIS). In accordance with applicable export control regulations and Fraunhofer IIS internal security requirements, participation in the event is subject to an export control review. Without the provision of the required data, participation in the event is not possible.

Data Controller and Recipient

The event is organized by Bayern Innovativ GmbH, which acts as the data controller within the meaning of Article 4(7) GDPR.
For the purpose of the export control review, certain personal data will be transferred to Fraunhofer IIS as the recipient.

Categories of Personal Data

The following personal data will be processed:

• Full name

• Nationality or nationalities (multiple citizenships, if applicable)

• Employer and employer’s address

Purpose of Processing

The data is processed exclusively for the following purposes:

• Conducting an export control and security review one week prior to the event

• Verifying authorized participation on the day of the event

Legal Basis

The processing and transfer of personal data is based on:

• Article 6(1)(c) GDPR (compliance with legal obligations relating to export control and security regulations), and

• Article 6(1)(f) GDPR (legitimate interest in ensuring lawful and secure access to the event premises).

Data Transfer and On-Site Verification

Your full name and nationality information will be transmitted to Fraunhofer IIS one week before the event for the export control review.
On the day of the event, participants must present a valid official photo ID (ID card or passport). The name on the ID will be checked against the list of approved participants.
Fraunhofer IIS will use the data solely for the export control review and will not contact participants directly. All communication relating to the export control review will be handled exclusively by Bayern Innovativ.
Storage Period
The personal data required for the export control review will be stored by Bayern Innovativ GmbH for the duration of the event and for a maximum of six months after the event. After this period, the data will be deleted, unless a longer statutory retention period applies.
Fraunhofer IIS receives the data solely for the purpose of conducting the export control review. The data will be stored by Fraunhofer IIS only for as long as necessary to fulfil this purpose and will then be deleted in accordance with applicable legal retention obligations.

Participation Requirement

Participation in the event is only possible after successful completion of the export control review.
If participation is not permitted, you will be informed by email no later than 27.04.2026. Only participants who are not permitted to attend the event will be informed by email. Participants who do not receive such notification are deemed permitted to attend.
If participation is not permitted following the export control review and a participation fee has already been paid, the fee will be refunded in full.
It is the participant’s responsibility to ensure that the email address provided during registration is correct and regularly checked.

By registering for the event, you confirm that you have read and understood the information regarding data processing and transfer. You confirm that your full name and the nationality(ies) you have provided will be processed and transferred to Fraunhofer IIS solely for the purpose of export control checks in connection with this event.
You also confirm that the information you have provided regarding your nationality is complete and correct.

Conditions of participation:

<sub>After receipt of your registration, we will send you a confirmation via e-mail.
Bayern Innovativ reserves the right to make changes to the programme to the extent absolutely necessary.
If and to the extent the event has to be cancelled due to force majeure or its realisation is unreasonable for Bayern Innovativ, both parties shall be released from their contractual obligations. Any entrance fee paid by the participant will be refunded. Neither party will be entitled to assert claims for damages against the other party based on or in connection with such event cancellation.
